MOHAVE COUNTY REQUEST FOR BOARD ACTION FORM Ann_ FORMAL ACTION: ❑ FROWT Acton, CPPB CONSENT CONTACT/EXT: 4194 RESOLUTION ❑ DATE: March 24, 2021 OTHER ❑ BOS MEETING DATE: April 5, 2021 INFORMATION ONLY SUMMARIZE THE ISSUE&DESIRED ACTION CLEARLY/ATTACH BACKUP MATERIAL: The Recorders Office — Voter Registration and Elections Departments have historically utilized a Pinal County Cooperative Contract for printing and mailing of election materials with previously awarded vendor K&H Integrated Print Solutions (Everett, WA). On January 6, 2021, Pinal County, through a competitive process, awarded Contract No. 201726RFP to Runbeck Election Services, Inc. (Phoenix, AZ), for Printing and Mailing of Election Materials, The Pinal County Contract has an initial term of January 6, 2021 through January 5, 2022, with four(4) one-year renewal options and the ability to extend month to month for a maximum of nine (9) months. If all renewal and extension options are exercised, the contract would end on October 5, 2026. Staff requests approval on behalf of the Recorder's Office—Voter Registration and the Elections Department, for the utilization of Pinal County's Cooperative Contract No. 201726RFP for Printing and Mailing of Election Materials awarded to Runbeck Election Services, Inc. (Phoenix, AZ), for mail ballot inserts, election ballots, sample ballots and general election print and postage services on an as needed bases and in accordance with board approved budget funds per fiscal year as applicable. RECOMMENDED MOTION: Approve the utilization of Pinal County's Cooperative Contract No. 201726RFP for Printing and Mailing of Election Materials awarded to Runbeck Election Services, Inc. (Phoenix, AZ) , effective January 5, 2021 through October 5, 2026, provided that Pinal County exercises all renewal and extension options, on behalf of the Recorder's Office — Voter Registration and the Elections Department. Services will be requested on an as needed basis and in accordance with board approved budget funds per fiscal year as applicable.
